What we collect
Name, email, optional phone and club affiliation when you register. Profile photo if you upload one. Match results and rankings when you play in tournaments. Basic usage data to improve the platform. No advertising cookies.
How we use your information
To show your player profile and rankings. To send tournament notifications (you can opt out). To send account emails such as password resets. We will never sell your data or share it with advertisers.
Who can see your information
Your name, club and results are visible to other users. Your email and phone are never shown publicly. Email and phone are visible only to (a) yourself, (b) BT Social admins, and (c) anyone you explicitly choose to message — at which point your email becomes the reply-to address on that message.
User-uploaded content
Photos, gear listings, partner requests and other user content are uploaded by individual users. We do not pre-screen this content. If anything affects you and you wish for it removed, please contact us at admin@btsocial.com.au and we will attempt to remove it as soon as practicable (typically within 48 hours).
Children and young people
BT Social welcomes junior players, but we take extra care with their data:
- Under 13s: We do not allow self-registration. A parent, guardian, club admin or tournament organiser must register on their behalf.
- 13–17 year olds: May register themselves with parental awareness. We recommend a parent reviews this policy and the Terms of Use with them.
- No targeted marketing: We never send marketing emails or promotional content directly to minors.
- Reduced data exposure: Junior profiles do not display contact details, and parents may request that their child's profile use a first-name-only display.
- Parental rights: Parents or guardians may request data export, profile changes, or full deletion at any time by emailing us. Photo takedown requests involving a minor are actioned with same-day priority.
If you believe a child is on the platform without parental knowledge, please contact us and we will investigate immediately.
Your rights
You can update your profile, request account deletion, request photo removal, or opt out of emails at any time. Contact admin@btsocial.com.au. We aim to respond to all data requests within 5 business days.
Data storage and security
Your data is stored securely using Supabase (Postgres) with row-level security policies and industry-standard encryption in transit and at rest. We follow the Australian Privacy Principles. Payment details (for future tournament fees) will be handled by third-party processors and never stored on our servers.
